The role

• Abstract leases and amendments, including rent information, for entry into Real Estate database software
• Participate in generation of monthly rent rolls and variance review
• Prepare vendor set up forms and payment requisitions for lease payments
• Review operating costs reconciliations provided by landlords for contractual compliance and accuracy
• Liaise with accounting regarding real estate payable and receivable matters, including utilities
• Generate ad hoc reports, as needed, using real estate software and Excel
• Attend team meetings and record updates in tracker
• Communicate with internal client groups, landlords, and property management firms with respect to the administration of leases
• Coordinate requests for lease-related items such as insurance certificates, business licenses
• Set up utilities for stores including communicating with regional utility companies
• Prepare general correspondence, open and maintain files
• Communicate with both major and independent landlords
• Various other duties as required
• Keep the Store Planning and Construction Department informed to ensure the smooth flow of communication and plans between landlord and Freedom for each project.
• Manage tracking process to ensure all renewals/extensions are dealt with in a timely matter
• Work with internal departments to ensure lease related payments are issued in a timely matter

Your skills/experience

• Minimum 2 -4 years of experience in a commercial property management or leasing environment
• Familiarity with real estate software systems
• A highly organized individual who has an eye for detail and accuracy
• Competent in Microsoft Office Suite, including Word, Excel & Outlook
• Strong problem-solving skills, accurate and details oriented
• Ability to adapt to and balance multiple and changing priorities with tight deadlines
• Able to develop and sustain cooperative working relationships and maintain professionalism at all times
• Punctual, reliable, team player able to work without direct supervision
• A positive friendly manner and customer service approach that will enable you to deal with challenging situations with integrity, empathy and sincerity
